Until Several years ago, a perfect office used to be filled up with papers, files and paper shelves. It was a huge task to arrange these files in racks and maintain them. There was always the danger of fire or other means of destruction that would result in permanent loss of those documents. If any of these happened to occur, the files would be irreversibly lost which cannot be restored. There was always the necessity for a permanent solution to this, and the result was the emergence of “Document management”, which caused a paperless environment in most of the offices nowadays.

It may sound easy, but to make an office, paperless demands a lot of problem solving in respect to the industrial needs. It is all about managing your documents in such a way so that it is within your contact whenever needed in the desired form without wasting extra time and efforts. The evolution of computer has added to the simplicity of office processes, and the procedure of document management is realistic only with the aid of a computer. Document management has become a top priority in offices where cost cutting has become unavoidable, since the overall cost of introducing the electronic document managing system would prove to be less when compared to purchasing papers, files and racks. Also the space needed to keep these racks can be saved. Imagine trying to locate a particular paper from thousands of papers racked up in your shelf. Not only will this be time consuming, it would be annoying for the person searching also. On the contrary, in an office with the electronic document management system is in use, a click of the mouse button will help find the file with much ease.

The electronic document management system is a computer-driven system where custom produced software instruments are used to capture, process, index, store, retrieve, distribute and get rid of the documents. The documents could be in any paper format, which can be transformed into electronic files. The system includes the capturing of documents through scanning, bar coding and optical character recognition.

Most of the corporate have shown a tendency towards reformatting all their documents into electronic files, therefore reducing the influence of the physical paper on the environment. These electronic files, which are converted from paper, can be stored on computers or other storage devices and can be accessed from anywhere. They can be sent to across the world through internet.

Electronic document management system can be best implemented in organizations with a huge load of documents, which would be too enormous a task to manage and also keep track. This is for the reason that the organization would have offices in different locations and it would be almost impossible to take over these papers to these different offices. In organizations where the electronic document management system is in use, the coordination between various departments would be extremely smooth because the electronic files can be accessed by anyone who requires them and has proper authority.
